Cliniko

  • Follow the steps in the link below to generate your API key. Please keep this safe. Your API key gives us access to your data for your reporting.

  • Initial appointments are categorised by Appointment Type. If your initials are showing as '0', then they have not been mapped as an 'initial' Appointment Type in your PMS correctly.

  • We use the following values in the expression:

    (Sum of Appointment Duration]

    divided by

    (Sum( Daily Availabilities Duration)+Sum( Available Block Duration))-Sum(Unavailable Block Duration)

  • Looks at the latest case (from the Last Initial onwards), calculates the number of appointments per week since the Initial. This was requested to allow a manager to view their clinicians frequency of appointments with patients in the immediate weeks following an initial. e.g. a Frequency of 1.0 shows that the clinician has had 1 appointment per week since the initial.

  • The number of completed and future appointments per case. Case is calculated as a set of appointments following and including an initial appointment. A case will finish at subsequent initial.

    - 3, 6 and 12 Month Rolling values: These values show a rolling average over the selected period. e.g. a 6 month period will show the average Retention value looking at the immediate preceding 6 months from each month or week your are observing.

  • Yes, we have a process to include data from Invoice Direct. The pocess equires you to downloa the latestdaa rom Invoice Direct then upload it to Reportabl.

Gensolve

  • To set up your account to transfer your data we will need you to provide us with your account information and an API Key.

  • Initial appointments are categorised by Service Charges. If your initials are showing as '0' or lower than expected, then they may not have been set up as an 'initial' Consultation Type in your Service Charges section in Gensolve correctly.

    To fix the issue you will need to update your Appointment Service Charges in Gensolve by following the steps below:

    • Click on ‘Administration’ in the main menu:

    • Click on Service Charges.

    • Select the Appointment Service Charge you want to edit by click on the pencil icon to the right.

    • Set the Consultation Type to ‘Initial’.

    • Click Save.

    Once you have completed these updates your data will reload overnight and should improve your data for reporting the following day.

Allied Health

  • The retention reporting calculation shows the ratio of Follow-ups up to Initial appointments. For example a Retention ratio of 5 tells us that for every Initial appointment you complete 5 follow-up appointments.

    Generally, the higher the number the better. A low number indicates that there is a high rate of new patients in relation to returning patients.

  • This calculation shows the % of Initial appointments in relation to all physio appointments. For example a First Appt ratio of 15% tells us that 15% of all appointments are Initials.

    Generally, you want this number lower to show more returning patients, however you may use it to track results of your marketing activity in a specific week or month. In that case you would expect your numbers to increase if you are attempting to attract new patients.

  • The DNA calculation shows the % of Did Not Arrive patients in relation to all physio appointments. The lower the number the better in this case.

    This could be used to identify a clinician with a high number in relation to their peers and may indicate a need for intervention of some kind. This could be used to track the effectiveness of additional measure put in place to remind patients of their appointment such as a text reminder process.
